Microsoft 365 Backup: Why Your Data Is Not as Safe as You Think

Most businesses assume that because their email and files live in Microsoft 365, Microsoft is backing them up. It is not, at least not the way you think. Microsoft keeps the service running and protects it from their end, but your data, the emails, files, and Teams content, is your responsibility, and the retention built in is short. If a staff member deletes a mailbox, ransomware encrypts your files, or someone clears out a SharePoint site, you can lose it for good. A third-party backup such as Veeam closes that gap.

Does Microsoft 365 back up your data?
Not in the way a backup does, as we cover in more detail in does Microsoft 365 back up your data. Microsoft 365 has a recycle bin and retention settings that hold deleted items for a limited window, often around 30 days by default, after which they are gone. That is a safety net for quick mistakes, not a backup you can rely on to recover a mailbox from six months ago or roll back a ransomware event. A real backup keeps its own independent copy of your data that you control.
What is Microsoft's shared responsibility model?
Microsoft is clear about this in their own terms: they are responsible for the infrastructure, uptime, and physical security of the service. You are responsible for your data within it. In plain terms, Microsoft makes sure the platform is there and running. Making sure your content can be recovered after deletion, an attack, or a mistake is on you.
What can you lose without a backup?
Four situations catch businesses out. A staff member deletes the wrong folder or mailbox and nobody notices until the retention window has passed. Ransomware encrypts files that then sync to the cloud. Someone leaves and their mailbox or files are cleared before anyone realises they were needed. Or a retention policy quietly expires and takes older data with it. In every case, without an independent backup, the data is not coming back.
