Robotic process automation (RPA) is software that mimics a person using a computer: clicking buttons, filling fields, and copying data between applications by following fixed rules. For an Australian SME it is most useful for high-volume, repetitive tasks in older systems that have no modern way to connect. RPA is not artificial intelligence, and in 2026 it is only one of three automation approaches worth understanding.

What is robotic process automation, in plain terms?
RPA is a software robot that repeats a set of on-screen actions exactly as a person would. You define the steps, whether recording them or configuring them, and the bot runs them over and over. Because it works at the screen level, it can drive systems that have no other way to connect, which is its main strength. It shines in high-volume, predictable, back-office work and in regulated environments where every step needs to be auditable. The classic tools in this space are UiPath, Automation Anywhere, and Blue Prism, all built for enterprise scale.
How is RPA different from AI and workflow automation?
RPA follows rules, workflow automation connects systems, and AI interprets goals, and the three are complements rather than competitors. Workflow automation triggers a defined sequence of steps through proper system connections, which is more robust than screen-scraping when an API exists. AI automation powers the individual steps that involve reading unstructured text or making a judgment call. A useful rule of thumb: if the process is stable and high-volume but has no API, RPA; if a step involves messy text or a judgment, AI; if the whole task is open-ended, an AI agent. Most SMEs overestimate how much of their work is truly open-ended and underestimate how much is a simple, structured workflow.
Where does RPA make sense for an SME?
RPA makes sense for an SME when a critical, repetitive process runs through a system that cannot be connected any other way. Think an old line-of-business application with no export, no API, and no plans to be replaced, where staff spend hours rekeying data every week. In that specific case a bot that drives the screen is a genuine fix. If the system does have an API, or the data lives in modern cloud tools, workflow automation is almost always the better and cheaper answer. The honest position, which many vendors will not give you, is that a lot of SME work labelled "needs RPA" is really a straightforward workflow-automation job.
The invoice example: why most real processes are hybrids
Most useful business automation combines all three approaches on a single process. Invoice handling is the textbook case. Reading the invoice and extracting the fields is an AI step, because invoices arrive in endless formats. Checking the vendor exists and matching line items to a purchase order is deterministic automation. Posting the result to your accounting system might be an API call or, in an older package, an RPA step. Routing an unusual invoice to the right person for a decision is an AI judgment again. Trying to do the whole thing with one technology is how automation projects get brittle or overbuilt.

Many vendors added "AI" to their RPA marketing without changing much underneath, so it is worth asking what a tool does. In practice the two are often combined, with RPA moving data and AI handling the judgment steps.
Is RPA dead now that AI agents exist?
No. RPA still does a job nothing else does well: driving systems that have no API, reliably and auditably, at high volume. AI agents are better for open-ended, judgment-heavy tasks, but they bring variable quality that regulated or high-volume back-office work often cannot tolerate. The two solve different problems, and choosing between them depends on the task.
Do small businesses need enterprise RPA tools?
Rarely. Enterprise RPA platforms are priced for large-scale deployments and are usually overkill for an SME. Most small businesses get further with low-cost, no-code workflow automation and a targeted AI step, reserving RPA for the one or two legacy systems that need it.
How do I know which approach my business needs?
Map the process first, then match each step to the right tool: rules to workflow automation, screen-only systems to RPA, and judgment steps to AI. The mistake is picking the technology before understanding the process. A short assessment usually makes the answer obvious, and often it is cheaper than expected.
