Microsoft 365 Migration for Sydney Businesses

Microsoft 365 migration is the process of moving your email, files, and users onto Microsoft 365 from an old provider, an on-premises server, or another Microsoft 365 tenant, with no lost mail and minimal downtime. Done properly it is invisible to staff: they finish on Friday and start Monday with everything where it should be. 4iT plans and runs Microsoft 365 migrations for businesses across Greater Sydney.

Key facts

  • Microsoft 365 migration covers email, calendars, contacts, shared mailboxes, distribution lists, and files, not just the obvious inbox.
  • A small-business migration can usually be cut over across a single weekend; larger or hybrid environments need a staged plan.
  • The most common cause of a failed migration is underestimating shared mailboxes, calendar permissions, and folder structures.
  • Microsoft stores migrated Exchange, SharePoint, and Teams data at rest in Australian data centres for Australian tenants.
  • Tenant-to-tenant migrations, after a merger or rebrand, are more complex than a first-time move and need careful identity mapping.

What does a Microsoft 365 migration involve?

A Microsoft 365 migration involves four stages: audit, prepare, migrate, and verify. First we audit what exists, including mailbox sizes, shared mailboxes, distribution lists, calendar permissions, and any file shares. Then we prepare the target tenant with the right licences, domains, and security settings. The migration itself moves data in a controlled cutover, and the final stage verifies that nothing was lost before the old system is decommissioned. The detail in the audit stage is what separates a clean migration from a messy one. A 12-person firm might have three shared mailboxes, a dozen distribution lists, and a director whose calendar is shared with five people, none of which show up if you only look at user counts. We map all of it before touching anything.

How long does a Microsoft 365 migration take?

A straightforward migration for a small business is usually completed over a single weekend, with the cutover timed for outside business hours so staff are not interrupted. Larger environments, or ones with on-premises Exchange, large file servers, or hybrid identity, take longer and run as a staged project over several weeks. The data audit determines the timeline, which is why we scope every migration before committing to a date. What we will not do is promise a date before we have looked at the data. We have seen migrations that looked like a weekend job turn into a fortnight once the real mailbox sizes and permission tangles surfaced. Better to find that out in the audit than mid-cutover.

Can you migrate from Google Workspace or another Microsoft 365 tenant?

Yes. We migrate from Google Workspace, from older on-premises Exchange and file servers, and from one Microsoft 365 tenant to another. Each source has its own quirks: Google Workspace needs careful handling of shared drives and label-based mail, while tenant-to-tenant moves need identity, licensing, and data all re-mapped to the new tenant.Tenant-to-tenant migrations come up most often after a merger, acquisition, or rebrand. They are the trickiest type because two live environments have to be reconciled, and users cannot simply be recreated from scratch without losing mailbox history and OneDrive content. This is the kind of work that benefits most from doing the mapping properly up front.

What happens to our data during the migration?

Your data is copied to the new tenant and verified before the old system is switched off, so there is no point where it only exists in one place mid-transfer. We do not delete anything from the source until the target is confirmed complete. For Australian tenants, the migrated data sits at rest in Microsoft’s Australian data centres. We also treat a migration as the right moment to fix what was wrong before. That usually means turning on multi-factor authentication, removing ex-staff accounts that were never disabled, and setting up proper backup, since a migration is the cleanest opportunity to start the new tenant the way it should be run.

Frequently Asked Questions

No. A well-planned migration keeps email flowing throughout, with the cutover timed for evenings or a weekend. Staff may need to re-add their account on their devices once, but they should not lose access to mail or have a gap where messages bounce. Any brief window is scheduled outside business hours.

Yes, the target tenant needs the right Microsoft 365 licences assigned before data can be moved into it. Part of our scoping is working out the correct plan for each role, which often means Business Premium for most staff because of the security and device management it includes. We handle the licence procurement as part of the project.

Those are scoped separately. A Microsoft 365 migration covers email, files, and collaboration. If you also want to move your phone system into Teams, that is a related but distinct project, and line-of-business applications are assessed case by case. We will flag any dependencies during the audit so nothing is a surprise.

Migrations are quoted as a fixed-scope project rather than an hourly job, because the price depends on user count, data volume, and how messy the source environment is. We scope it after the audit so the number reflects your actual environment. Advisory work outside the project scope is charged at AU$165 per hour ex GST.

If you are weighing up a move to Microsoft 365, or a move between tenants, the first step is a short audit of what you actually have. We are happy to take a look and give you a realistic plan and timeline before you commit to anything.
