Microsoft 365 Backup for Sydney Businesses

Microsoft 365 backup is an independent, retained copy of your Exchange email, SharePoint, OneDrive, and Teams data, held separately from Microsoft so you can recover from deletion, ransomware, or a departed employee. Microsoft keeps your service running, but under its shared responsibility model, protecting and retaining your data is your job, not theirs. 4iT sets up and manages proper Microsoft 365 backup for businesses across Greater Sydney.

Key facts

  • Microsoft’s shared responsibility model makes the customer responsible for protecting and retaining their own Microsoft 365 data.
  • Microsoft replicates data for service availability, but replication is not backup: a deleted or encrypted file is deleted or encrypted in every replica.
  • Native retention features like the recycle bin and retention policies have time limits, after which data is permanently gone.
  • A departed employee’s mailbox and OneDrive can be deleted along with their account, taking the only copy of their files with it.
  • Third-party Microsoft 365 backup covers Exchange, SharePoint, OneDrive, and Teams with long or indefinite retention and fast restore.

Does Microsoft 365 back up your data?

No, not in the way most businesses assume. Microsoft operates on a shared responsibility model: Microsoft keeps the platform running and available, and you are responsible for protecting and retaining the data you put into it. Microsoft replicates your data across its data centres for resilience, but that protects against Microsoft losing your data, not against you deleting it, ransomware encrypting it, or a staff member walking off with it.

This catches people out because the recycle bin and version history feel like a safety net. They help with everyday accidents, but they have retention limits, and once those pass the data is gone. If a disgruntled employee deletes files and empties the recycle bin, or ransomware encrypts a SharePoint library, native features will not save you past their built-in windows.

What does a proper Microsoft 365 backup cover?

A proper Microsoft 365 backup covers all four main data sources: Exchange Online mailboxes, SharePoint sites, OneDrive accounts, and Teams data including chats and files. It stores those in a separate location with retention you control, often years or indefinite, and lets you restore a single email, a whole mailbox, or an entire site quickly.

The point of an independent backup is that it is not affected by what happens in your tenant. If an account is deleted, the backup still holds that person’s mailbox and files. If ransomware encrypts live data, the backup is a clean copy from before the attack. This is the same logic behind immutable backups in our wider backup and disaster recovery work: a backup an attacker can reach is not really a backup.

Why do Sydney businesses need Microsoft 365 backup?

Sydney businesses need Microsoft 365 backup for the same reasons any business does: accidental deletion, malicious deletion, ransomware, and staff turnover. The most common real-world trigger we see is not a dramatic cyberattack but something mundane, like an employee leaving, their account being deleted to save a licence, and someone realising weeks later that the only copy of a key spreadsheet went with them.

There is also a compliance angle. If you are in a regulated industry, or you hold client records you are legally required to retain, the native retention windows in Microsoft 365 may not meet your obligations under the Privacy Act 1988 or industry rules. A backup with controlled retention closes that gap and gives you a defensible answer when someone asks how long you keep records and whether you can produce them.

Frequently Asked Questions

Your data is safe from Microsoft losing it, but not from you losing it. Microsoft's replication protects against hardware failure and data-centre outages. It does nothing about accidental deletion, malicious deletion, ransomware, or an account being removed. Those are your responsibility under the shared responsibility model, which is what a backup addresses.

Native retention varies by data type and configuration, and the recycle bin and retention policies have time limits, after which data is permanently deleted. Relying on those windows is risky because they are often shorter than the time it takes to notice something is missing. A dedicated backup removes the guesswork by holding data for as long as you choose.

Yes, a proper backup covers Teams, which is important because Teams data is spread across Exchange, SharePoint, and OneDrive under the hood. Teams chats, channel messages, and shared files all need to be captured, and a backup built for Microsoft 365 handles those connections rather than missing half of Teams.

Microsoft 365 backup is usually priced per user per month and is modest compared with the cost of losing data. We bundle it into managed agreements or run it as a standalone layer, and we scope it to your user count and retention needs. Against the cost of recreating lost records, or a failed compliance request, it is one of the cheaper forms of insurance a business can buy.

If you are not certain whether your Microsoft 365 data is actually backed up, as opposed to just sitting in the cloud, that is worth checking today rather than after something goes wrong. We are happy to look at what protection you have in place and tell you straight where the gaps are.
