{"id":837,"date":"2016-07-06T15:55:55","date_gmt":"2016-07-06T04:55:55","guid":{"rendered":"https:\/\/4it.com.au\/kb\/?post_type=article&#038;p=837"},"modified":"2016-07-06T15:55:55","modified_gmt":"2016-07-06T04:55:55","slug":"outlook-office-certain-days-week","status":"publish","type":"article","link":"https:\/\/4it.com.au\/kb\/article\/outlook-office-certain-days-week\/","title":{"rendered":"Outlook Out Of Office On Certain Days of The Week Only"},"content":{"rendered":"<p>This article will show you how you can set up an autoresponder for Outlook 2016, 2013 and 2010 based on the day of the week. \u00a0This method is not perfect by any means however it will allow you to achieve the goal just the same. \u00a0These methods work well for staff members who only work a few days of the week and keep on forgetting to turn on their out of office at the end of the day.<\/p>\n<h2>Solution 1 &#8211; Outlook with Exchange \/ Office 365 Mail<\/h2>\n<p>In this solution we will look at how you can set up autoresponders in your Outlook which are run from the exchange server. \u00a0There is one caveat with this method however and it will be based on the time zone of your exchange server. \u00a0If you are using Office 365 it is quite possible that your mail servers time is on Greenwich mean time +0 so this method won&#8217;t work if you are on Office 365 and located across the world. \u00a0If you&#8217;re in this boat you can try the\u00a0alternative solution\u00a0below.<\/p>\n<p>What we are going to do is set up a series of Exchange based rules in our Outlook based on the internet headers of incoming messages. \u00a0As this is an advanced topic we will assume that you have a higher than average level of computer knowledge and will skip the basic commands.<\/p>\n<h3>Step 1<\/h3>\n<p>Before we go any further we need to see what the time zone of our Exchange server is. \u00a0An easy way to do this is to open up any email message in outlook, click on file and then properties.<\/p>\n<p><a href=\"https:\/\/4it.com.au\/kb\/wp-content\/uploads\/2016\/07\/Out-of-Office-Specific-Days-Only.png\"><img class=\"alignnone size-full wp-image-838\" data-original=\"https:\/\/4it.com.au\/kb\/wp-content\/uploads\/2016\/07\/Out-of-Office-Specific-Days-Only.png\" alt=\"Out-of-Office-Specific-Days-Only\" width=\"529\" height=\"201\" \/><\/a><\/p>\n<p>Looking at the internet headers we can see that the server&#8217;s time zone is +0000. \u00a0If you&#8217;re local computer is too far away from this it&#8217;s not going to produce accurate results. \u00a0Realistically however a few hours either side of this will work for what we are going to achieve as most people don&#8217;t work throughout the night.<\/p>\n<h3>Step 2<\/h3>\n<p><a href=\"https:\/\/4it.com.au\/kb\/wp-content\/uploads\/2016\/07\/Out-of-Office-Specific-Days-Only1.png\"><img loading=\"lazy\" decoding=\"async\" class=\"alignnone size-full wp-image-839\" src=\"https:\/\/4it.com.au\/kb\/wp-content\/uploads\/2016\/07\/Out-of-Office-Specific-Days-Only1.png\" alt=\"Out-of-Office-Specific-Days-Only1\" width=\"529\" height=\"201\" srcset=\"https:\/\/4it.com.au\/kb\/wp-content\/uploads\/2016\/07\/Out-of-Office-Specific-Days-Only1.png 529w, https:\/\/4it.com.au\/kb\/wp-content\/uploads\/2016\/07\/Out-of-Office-Specific-Days-Only1-300x114.png 300w\" sizes=\"auto, (max-width: 529px) 100vw, 529px\" \/><\/a><\/p>\n<p>Whilst we are in the Internet headers, copy to a text document the bit which is highlighted above. \u00a0In this example we are going to copy <strong>Transport; Wed,<\/strong><\/p>\n<p>Close the properties page<\/p>\n<h3>Step 3<\/h3>\n<p>We are now going to create a series of rules in Outlook for the specific days we wish to send an auto reply on.<\/p>\n<p>Open up your Outlook Rules and create a rule with the following settings:<\/p>\n<p><strong>Apply rules on messages I receive<\/strong><\/p>\n<p><strong>With specific words in the message header<\/strong><\/p>\n<p>Copy and paste the text we saved before in the specific words &#8211; add any other days you wish at the same time<\/p>\n<p><strong>Have the server reply using a specific message<\/strong><\/p>\n<p>Click on Specific Message &#8211; Leave To, CC and BCC blank. \u00a0Enter your response in the Subject and Main Text Area<\/p>\n<p><a href=\"https:\/\/4it.com.au\/kb\/wp-content\/uploads\/2016\/07\/Out-of-Office-Only-Some-Days.png\"><img loading=\"lazy\" decoding=\"async\" class=\"alignnone size-full wp-image-840\" src=\"https:\/\/4it.com.au\/kb\/wp-content\/uploads\/2016\/07\/Out-of-Office-Only-Some-Days.png\" alt=\"Out of Office Only Some Days\" width=\"429\" height=\"234\" srcset=\"https:\/\/4it.com.au\/kb\/wp-content\/uploads\/2016\/07\/Out-of-Office-Only-Some-Days.png 429w, https:\/\/4it.com.au\/kb\/wp-content\/uploads\/2016\/07\/Out-of-Office-Only-Some-Days-300x164.png 300w\" sizes=\"auto, (max-width: 429px) 100vw, 429px\" \/><\/a><\/p>\n<p>Click on <strong>Save<\/strong> and <strong>close<\/strong><\/p>\n<p>It should look something like this<\/p>\n<p><a href=\"https:\/\/4it.com.au\/kb\/wp-content\/uploads\/2016\/07\/Outlook-Rule.png\"><img loading=\"lazy\" decoding=\"async\" class=\"alignnone size-full wp-image-841\" src=\"https:\/\/4it.com.au\/kb\/wp-content\/uploads\/2016\/07\/Outlook-Rule.png\" alt=\"Outlook Rule\" width=\"414\" height=\"88\" srcset=\"https:\/\/4it.com.au\/kb\/wp-content\/uploads\/2016\/07\/Outlook-Rule.png 414w, https:\/\/4it.com.au\/kb\/wp-content\/uploads\/2016\/07\/Outlook-Rule-300x64.png 300w\" sizes=\"auto, (max-width: 414px) 100vw, 414px\" \/><\/a><\/p>\n<p>From here you can add any exceptions etc&#8230; and then click on Finish.<\/p>\n<p>Notes: As mentioned above, this won&#8217;t work for those whose physical location is too far away from their exchange server.<\/p>\n<h2>Alternative Solution\u00a0&#8211;
